JOB TITLE:

IT Finance Clerk / Administrative Assistant

REPORTS TO:

IT Director

LOCATION:

Sanford, N. Carolina

Core Description:

The IT Finance Clerk / Administrative Assistant provides support to multiple divisions within the IT Department in both an administrative and finance capacity. This role works closely with senior IT and Finance leadership to ensure budgets are tracked and financial transactions are properly handled. This individual also helps to ensure day to day operational needs in the office are handled helping to enable the office to operate seamlessly.

Key Responsibilities:

  • Financial:

  • Track budgets and spending for multiple divisions within IT Infrastructure organization

  • Weekly meetings with GDC Director and key managers to track progress and budget spending

  • Host weekly meetings with division Directors to review respective budgets

  • Prepare monthly accrual reports to be submitted for posting

  • Maintain documentation for review of annual purchases

  • Perform account reconciliations and account analysis

  • Provides assistance in requisitioning supplies, minor equipment and services, including assisting requestors with their online requisitions and vendor portal orders

  • Administrative:

  • Maintain inventory for office supplies

  • Prepare purchase orders, process receipts, and order all departmental supplies

  • Schedule meetings, training, and orientations, as needed.

  • Prepare documentation and PowerPoint presentations for meetings

  • Various administrative duties to support the department

  • Help foster an environment in which continuous improvement in business processes and services is welcomed and recognized

  • Prepare shipping tickets for domestic and international shipping

  • Assist with the writing and control of procedures and documents

  • Assist with coordination travel arrangements

  • Coordinate and plan special events for the department

  • Track attendance and time for all hourly and weekly employees

  • Preparing expense reports

Application Pre-Requisites:

  • Associates Degree or equivalent

Special skills required:

  • General purpose computer skills with mid to advanced Microsoft Excel skills

  • Ability to effectively communicate both written and verbally with senior leadership

  • Completes work on time and within budget

  • Consistently delivers quality work
